We're a Texas-based real estate company looking for an Operations Coordinator to work directly with our CEO. This is not a traditional assistant role—it's an execution position. You'll be the interface between leadership and our vendors, contractors, and internal team members.
The right person can take a loosely-defined directive, turn it into a structured plan, coordinate the people needed to execute it, quality-check the work before it reaches leadership, and communicate clearly throughout. You'll manage designers, developers, and marketing vendors—ensuring work gets done right the first time.
Key Responsibilities
Vendor & Project Coordination
- Serve as the primary point of contact for designers, developers, and marketing vendors
- Turn vague directives into structured briefs with clear requirements and acceptance criteria
- Manage project timelines, follow up on deliverables, and enforce deadlines
- Quality-check all work before it reaches the CEO—catch issues, request revisions, and ensure deliverables are complete
- Handle vendor questions and problem-solving independently rather than escalating prematurely
Performance Marketing Support
- Review and interpret marketing performance reports (GA4, Piwik, CallRail)
- Understand A/B testing fundamentals and communicate results clearly
- Coordinate with performance marketing vendors on campaigns and optimizations
- Summarize key metrics and flag anomalies or opportunities
Communication & Execution
- Make phone calls and send texts on behalf of the CEO (vendors, service providers, scheduling)
- Research and plan projects—gather steps, identify vendors, compile costs, present options
- Set up and configure software tools as needed
- Create and maintain documentation, SOPs, and checklists
- Handle logistics for business and personal projects
Required Qualifications
- Excellent spoken and written English — you'll be making calls and leading conversations with US-based vendors
- Prior project management or coordinator experience — agency, SaaS, marketing, product, or operations background preferred
- Experience managing creative or technical vendors — designers, developers, marketing agencies
- Analytical ability — comfortable reviewing reports, identifying patterns, and summarizing data
- Strong technical aptitude — able to learn new software quickly without hand-holding
- High autonomy — able to take vague instructions and figure out the path forward
- Highly organized — able to juggle multiple projects and vendors without dropping balls
- Comfortable with oversight tools (phone monitoring, activity tracking) during initial period
- Reliable internet and a quiet space for phone calls
- Availability during US Central Time business hours
Nice to Have
- Familiarity with real estate or property management operations
- Experience with analytics tools (Google Analytics, Piwik, CallRail)
- Basic UX literacy—can spot layout issues, unclear UI, poor hierarchy
- Light HTML/CSS familiarity
- Light Figma ability
- Light automation experience (Zapier/Make)
- Video editing basics (Riverside.fm, Descript)
- Genuine interest in AI tools

Schedule & Compensation
- Full-time (40 hours/week)
- Monday–Friday, 9am–5pm Central Time
- Remote — Philippines-based candidates only
- Compensation: $1,500–$2,000/month USD depending on experience, plus 13th month pay
