About the Role
We are a well-established law firm seeking a highly organized and proactive Executive Assistant to provide administrative support to our executive team. The ideal candidate will have a background in supporting law firms or legal professionals and possess a strong understanding of the specific needs and demands of the legal industry.
Key Responsibilities
- Executive Support: Provide administrative support to senior partners and attorneys, including calendar management, scheduling meetings, and coordinating appointments.
- Document Management: Prepare, proofread, and organize legal documents, correspondence, and reports. Ensure that all materials are properly filed and easily accessible.
- Client Communication: Handle client inquiries, schedule consultations, and assist with case-related correspondence while maintaining professionalism and confidentiality.
- Task Coordination: Assist with case management, including organizing files, tracking deadlines, and ensuring that tasks are completed on time.
- Billing & Invoicing: Assist with generating and tracking invoices, processing payments, and maintaining billing records.
- Legal Research & Filing: Perform basic legal research and assist in organizing case files, evidence, and documents for trials or client meetings.
- Office Operations: Manage office operations such as preparing documents for hearings, managing deadlines, and overseeing daily office tasks to ensure smooth operations.
Qualifications
- At least 3 years of experience as an Executive Assistant, Legal Assistant, or in a similar administrative role, preferably in a law firm or legal setting.
- Strong understanding of legal terminology, procedures, and case management processes.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management software (e.g., Clio, Zoho, LexisNexis).
- Familiarity with law firm billing and invoicing processes.
- Excellent organizational skills with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills with a professional and courteous demeanor.
- High attention to detail and ability to maintain confidentiality.
- Proactive, self-starter with the ability to work independently in a remote work environment.
